1. How we handle documentsWe treat client materials as confidential. You control access: documents are used only for analysis and performance of agreed work.
2. Minimum data to startTo begin a primary evaluation, often it is enough to provide:
- property address / cadastral municipality (KO) / land registry entry (LN) (if available);
- a brief description of the situation (house/apartment/transaction, what concerns you).
We request the full document package by agreement — once the scenario and scope of work are clear.
3. Who has access within the teamOnly staff members directly involved in your case have access to the materials. We adhere to the principle of least necessary access.
4. Sharing with third partiesSometimes carrying out the work requires involvement of third parties (e.g., surveyor, architect, notary, translator).
Sharing materials with third parties happens:
- only with your consent;
- only to the extent required for the specific task (without “extra”).
5. No publication without consentWe do not publish documents, photos or property data (including case examples) without your prior consent.
If you allow using the case as an example — we will agree on the format and level of anonymization.
6. How to send documents more safelyRecommendations:
- It’s best to send documents via personal chat or e-mail;
- If the file is large — use a cloud link with restricted access;
Do not send the full package “just in case”: if unsure — start with minimal data, and we’ll agree on the rest.
7. How we use public sourcesFor analysis, we can use open/public data (e.g., extracts/registries/public maps) when appropriate for fact and status verification. If additional queries are required for the case — we agree on that separately.
8. Retention period and deletionWe keep materials only as long as necessary to complete the work and for internal record-keeping. If you want to delete submitted materials — write to us, and we will discuss deletion with consideration of mandatory retention requirements (if applicable).
9. Important legal disclaimerThe analysis is performed based on available/open/public information, is not intended to be shared with third parties, and is not used for purchase-sale transactions.
In our experience, significant discrepancies in information may occur, and without a site visit (first-stage checklist) the conclusion cannot be used in negotiation processes for property sales; for transactions we conduct verification and after the first stage provide a full property report.
